Ordering portfolios

Digital copies of the Registration portfolio can be requested from registration@ibms.org. We are asking that the Placement Tutor for all integrated programmes (BSc Applied Biomedical Science, Healthcare Science or level 6 degree apprenticeship) sends a single spreadsheet containing information for all placement students or apprentices, their training officer and training laboratory. 

Please complete the spreadsheet once the students are sent on placement, or when your apprentices are 3 years from their graduation date (to ensure that their portfolio evidence is current). Once your Student Placement Spreadsheet has been completed, please submit to registration@ibms.org. This will enable the Education team to register the students, request payment for the Version 5.0 portfolios and upload the students or apprentices to the Onefile platform.  

Completing the portfolio

The training laboratory’s training officer should sign off the portfolio evidence that demonstrates how the candidate meets the HCPC standards of proficiency during their placement or as part of their apprenticeship. 

Version 4 Registration Training Portfolios
If your apprentices started collating evidence for the version 4 registration training portfolio prior to the launch of the version 5.0 portfolio in September 2023, portfolio verification should be arranged by the university by one of their trained registration training portfolio verifiers.

Following successful verification of the apprentices’ portfolios and completion of their degree programme, course tutors or placement tutors should send a pass list of all apprentices to registration@ibms.org. Once this has been received, the team can process the outcome and issue the Certificate of Competence.

Version 5 Registration Training Portfolios
Portfolio verification can be arranged by the university by one of their trained portfolio verifiers, by updating the original Student Placement Spreadsheet with the names of the allocated verifiers to each portfolio candidate. This updated spreadsheet should then be submitted to registration@ibms.org to allow the team to allocate the verifiers to the corresponding candidate on Onefile. If the placement tutor needs assistance in finding verifiers, they should contact the registration@ibms.org inbox.

Following verification of the portfolios, the candidate, training officer and verifier will submit all forms to Onefile and when all forms are completed, the team can process their verification outcome. The Placement Tutor should then confirm when the students or apprentices have successfully completed their degree programme so that the team can issue their Certificate of Competence.

Once the IBMS Registration Team has notified the HCPC, students will be able to contact the HCPC to apply to register as a biomedical scientist.

Ordering the portfolio

The IBMS approved laboratory, where a student undertakes their placement, is responsible for ordering the IBMS Registration Training Portfolio for them.

The laboratory manager or training officer will need to complete the Registration Training Application Form and send to registration@ibms.org along with:

  • payment
  • a copy of the candidate's birth certificate, or a scan of the personal details page of their passport
  • confirmation of the student's enrolment on an IBMS accredited degree course.

Completing the portfolio

The laboratory training officer should sign off standards met through course assignments. Portfolio verification should be arranged by the laboratory training officer.

To request a portfolio verification, the laboratory training officer should complete and submit a Verification Request Form to registration@ibms.org

Once the IBMS Registration Team has received the verifier's report (completed and sent by the IBMS verifier) and the Verification Laboratory Feedback Form (completed and sent by the laboratory manager or training officer) students should send a copy of their degree certificate and a cover letter to registration@ibms.org

Alternatively, they can post to the address above. 

The Registration Team will then send the student an IBMS Certificate of Competence and they will be able to contact the HCPC to apply to register as a biomedical scientist.
